Privacy Policy

The short version

Your data is used only to generate your evaluation. We do not share it with employers, government agencies, or any third party beyond what is needed to process your request. Your uploaded documents are deleted within minutes of completing your evaluation, and your data is never used to train AI models.

This service does not constitute legal advice and no attorney-client relationship is formed by using Emeritas. For the detailed explanation of what we collect, how we protect it, and what rights you have, read on.

1. Who Can See My Data?

We know that exploring immigration options is private. Here is who does — and does not — have access to your information:

Your employer: No. We do not notify, report to, or share any data with your employer. Your use of Emeritas is not visible to anyone at your workplace.

Government agencies: No. We do not report to, share data with, or provide access to any government agency — including USCIS, CBP, ICE, or their equivalents in other countries. No government authority has access to your evaluation unless you choose to share it yourself.

AI model training: No. We never use your data to train AI models. Our AI provider (Anthropic) processes your data under their commercial API terms, which do not use your inputs or outputs to train their models under normal operation. A narrow exception applies if content is flagged for trust & safety review under Anthropic's usage policies.

Other users: No. Your evaluation is private to you. We do not publish, index, or make your data available to any other user of the service.

Data selling: No. We do not sell, rent, or trade your personal information to anyone, for any purpose.

2. What We Collect

We collect only what is needed to run your evaluation:

  • Your profile responses: Name, field of expertise, years of experience, country of birth, and your answers to the evaluation questions.
  • Uploaded documents: If you upload a CV, petition, RFE letter, or response PDF, it is processed and then deleted. Documents are not retained or accessible to anyone — including us — after your evaluation completes.
  • Evaluation results: Your assessment scores, criteria analysis, and any research findings generated during the evaluation.
  • Email address: Only if you voluntarily provide it (during payment or to receive your report).
  • Quick Check email: If you complete our free Quick Check screening and provide your email, we use it to send you an eligibility guide and a single follow-up email 7 days later. You are not added to a mailing list.
  • Payment information: Processed entirely by Stripe. Your credit card details never touch our servers.
  • Feedback: If you complete the optional feedback survey, your ratings and comments.
  • Technical data: We temporarily process your IP address to prevent automated abuse. IP addresses are not stored beyond the rate-limiting window (typically 24 hours), are never linked to your evaluation results, and are never shared with any third party.

3. How We Use Your Information

  • To generate your profile evaluation, petition review, or RFE response review
  • To process your payment and deliver your purchased service
  • To send you your evaluation report by email (if you provide one)
  • To improve the accuracy and quality of our evaluations using aggregate, anonymized patterns. This includes aggregated behavioral signals — which intake steps users complete, roughly how much of the first page they fill in before leaving (none, partial, or complete), and where users exit the process — all grouped by day, not by person.
  • To send your Quick Check eligibility guide and a single follow-up email seven days later
  • To prevent abuse and enforce rate limits
  • If you explicitly opt in at checkout, to send occasional follow-up check-in emails about your green card planning (a small number of messages per year; you can unsubscribe at any time via a link in every email). Opt-in is off by default; you only receive these emails if you actively check the box.

4. How AI Processes Your Data

Your profile responses and uploaded documents are analyzed by Anthropic's Claude, the AI that powers our evaluations. Here is what you should know:

  • No training under normal use: Under Anthropic's commercial API terms, your inputs and outputs are not used to train their models. A narrow exception applies only if content is flagged for trust & safety review under Anthropic's usage policies.
  • Short retention by Anthropic: Anthropic retains inputs and outputs for up to 30 days by default and then deletes them. Longer retention applies only if content is flagged for trust & safety review or if required by law.
  • No human review by default: Processing is fully automated. Anthropic employees do not review your submissions outside of the narrow trust & safety exception noted above.

5. Third-Party Services

We use a small number of trusted services to operate Emeritas:

  • Stripe — processes all payments. Your credit card data is handled entirely by Stripe under PCI compliance standards.
  • Secure cloud hosting — our application runs on hosted infrastructure that processes requests and may log technical metadata (such as request timestamps).
  • Encrypted database — evaluation records and feedback are stored in an encrypted, access-controlled database.
  • Email delivery service — used to send evaluation reports and administrative notifications.

Each of these providers is contractually bound to process your data only as needed to deliver their service and not for any other purpose.

6. How Long We Keep Your Data

  • Uploaded documents (CVs, petitions, RFE letters): deleted after your evaluation completes — typically within 5–10 minutes. Not retained. Not accessible to anyone, including us.
  • Processing data (your responses as submitted for evaluation): automatically expires within 24 hours. Sensitive fields like payment tokens and IP addresses are not retained with your evaluation data immediately after your evaluation finishes.
  • Evaluation results: retained for up to 12 months so we can provide customer support and improve our evaluation quality. You may request earlier deletion at any time.
  • Payment records: retained by Stripe and by us for tax and accounting purposes as required by law (generally 7 years).
  • Usage statistics (aggregate page views and clicks): retained for up to 90 days, then automatically deleted.
  • Quick Check email and screening result: automatically deleted after 90 days. Used only for the eligibility guide delivery and the single Day 7 follow-up email.
  • Feedback and survey responses: retained unless you request deletion.

7. How to Delete Your Data

Email hello@emeritas.pro with a deletion request. We will delete all identifiable records associated with your email or submission within 30 days, unless we are legally required to retain certain records (such as payment records for tax purposes). You do not need to provide a reason.

8. Data Security

We take the security of your information seriously:

  • All data is transmitted over encrypted connections (HTTPS).
  • Payment data is handled entirely by Stripe and never touches our servers.
  • Uploaded documents are deleted within minutes of processing — they are not stored long-term.
  • Access to our systems is restricted and protected by industry-standard security controls.

No system is 100% secure. In the unlikely event of a data breach affecting your personal information, we will notify affected users within 72 hours and disclose what data was involved. In such an event, evaluation results (retained for up to 12 months) could be at risk — but your credit card data (held by Stripe, not us) and uploaded documents (already deleted) would not be.

9. Your Rights

For all users:

You can request a copy of your data, ask us to correct inaccuracies, or request deletion at any time by emailing hello@emeritas.pro. We will respond within 30 days.

European Economic Area and UK residents (GDPR):

You have the following additional rights:

  • Right of access, rectification, erasure, restriction, data portability, and objection.
  • We process your data based on your consent (you voluntarily submit information) and our legitimate interest in improving the service.
  • You may withdraw consent at any time by contacting us.

California residents (CCPA/CPRA):

  • Right to know: You may request details about the personal information we collect and why.
  • Right to delete: You may request deletion of your personal information.
  • Right to opt out of sale: We do not sell your personal information. There is nothing to opt out of.
  • Non-discrimination: We will not deny service or change pricing because you exercise your privacy rights.

10. International Data Transfers

Emeritas LLC is incorporated and operated from the United States. If you use this service from outside the US — including from the European Union, the United Kingdom, or other regions with data-protection laws — your personal data will be transferred to and processed on US-based infrastructure provided by the processors named below.

The processors we use to deliver the service:

  • Vercel (United States) — application hosting, serverless function execution, edge CDN.
  • Upstash (United States) — Redis-compatible key/value storage for evaluation results, rate-limit counters, and Quick Check leads.
  • Anthropic (United States) — AI model provider for the evaluations themselves. See Section 4 for the specifics of how your inputs are used.
  • Resend (United States) — transactional email delivery (your evaluation report, the Quick Check guide and Day-7 follow-up).
  • Stripe (United States, with regional subprocessors) — payment processing.

Transfer mechanism for EU/UK users.For users in the EEA, the United Kingdom, or Switzerland, we rely on the European Commission's Standard Contractual Clauses (SCCs) and equivalent UK/Swiss addenda as the legal basis for transferring your personal data to the US processors above. Where a processor is certified under the EU–US Data Privacy Framework (DPF), that certification provides an additional adequacy basis. We apply the same technical and organizational protections (TLS in transit, AES-256-GCM at rest for PII fields, contractual data-processing agreements with each processor) regardless of where you are located.

By using the service from outside the US, you consent to this transfer.

11. Cookies

Essential (always on):We use your browser's local storage to save your assessment progress and remember your cookie consent choice. These are necessary for the service to function.

Advertising (with your consent only): If you accept cookies via our consent banner, Google Ads may set cookies to measure whether an ad click led to a purchase. You can decline at any time. If you decline, Google receives only anonymized, non-identifying data.

Analytics (no cookies): We use a privacy-friendly first-party analytics service that counts page views and anonymized usage patterns (such as which steps users reach in the intake questionnaire and where they leave) in aggregate. It does not use cookies and does not track individual users across sessions. All counters are grouped by day, never by person — we do not record per-user timestamps or identifiers.

To change your cookie choice, clear your browser's local storage for emeritas.pro and refresh the page — the consent banner will reappear.

12. Children's Privacy

This service is not intended for anyone under 18. We do not knowingly collect personal data from children.

13. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated date. We encourage you to review this page periodically.
